Vendor Policies

We want every wedding at Greenwood Springs to run smoothly from setup through the end of the night. To help make that happen, it’s important that our team and all wedding vendors are on the same page. Reviewing these details ahead of time helps prevent last-minute questions, unnecessary stress or issues and keeps the focus on celebrating the couple.

Please review the policies that apply to your services before arriving at the venue. If you have any questions about setup, access, or venue requirements, please contact us ahead of the event.

DJ

  • DJs are responsible for owning or having the copyright to play all music used during the event.

  • All DJ equipment must be completely removed from the venue by 11:00 p.m.

  • Please plan your end time accordingly. For example, if breakdown takes one hour, breakdown should begin by 10:00 p.m.

  • The designated DJ setup area is in the northeast corner of the venue building (the far left corner inside the venue against the glass wall).

  • Please do not park on the grass and move car to the main parking lot after unloading.

  • Please use the side door underneath the pergola for loading and unloading equipment.

Caterer

  • Caterers have access to a small prep kitchen and refrigerator.

  • The kitchen is for food preparation and staging only. Cooking is not permitted onsite.

  • The venue does not provide ovens or warming equipment.

  • Roasting pans, crockpots, kettles, and similar cooking/warming appliances may not be used onsite. Catering-style chafing dish food warmers are allowed.

  • Please plan for all food to arrive fully prepared and ready for service.

  • If client requests plated meals, you are welcome to bring piping and drape for just outside the kitchen for more space to prep/plate.

Rental Companies

  • Please clearly label all rental items for easy identification at pickup.

  • Coordinate your delivery and pickup times with the wedding planner, coordinator, or designated day-of contact.

  • All deliveries and pickups must take place within the venue’s rental period of 9:00 a.m. to 11:00 p.m.

  • All rental items and décor must be removed from the venue by 11:00 p.m.

  • Greenwood Springs tables and chairs are clearly marked to help distinguish them from outside rentals.

  • Please make arrangements in advance to ensure all rental items are picked up before the end of the rental period.

Florists

  • Please coordinate your delivery and setup time with the wedding planner, coordinator, or designated day-of contact.

  • We ask that floral arrangements be assembled offsite whenever possible.

  • If floral arranging or finishing work needs to be completed onsite, please clean up any stems, leaves, packaging, or other debris when finished.

  • A broom and dustpan are available in the kitchen closet for your use.

  • Greenwood Springs provides a ladder for decorating the outdoor arbor. It is located just inside the Man Cave.

  • Please return the ladder to its designated location when you are finished.

Hair & Makeup

  • If the bride has reserved the Bridal Cottage add-on, hair and makeup vendors may park at the Bridal Cottage for easier access.

  • Bridal Cottage parking is accessed from Greenwood Drive. You do not need to enter the main venue gates to access the Bridal Cottage parking lot (parking is limited).

  • Please confirm Bridal Cottage access with the bride before the wedding day because parking is limited.

Bakery/Wedding Cake

  • The designated round cake/dessert table area is in the southeast corner inside the venue building (the far right corner inside the venue against the glass wall).

  • Please coordinate your delivery time with the bride, planner, coordinator, or designated day-of contact so someone is available to receive you.

Photographers, Videographers & Content Creators

We love working with talented photographers, videographers, and content creators who capture our couples’ wedding days beautifully. Your work not only preserves their memories, but also helps showcase Greenwood Springs at its very best. Thank you for the care and creativity you bring to our venue!

  • Photography and filming should remain on Greenwood Springs property unless other arrangements have been made.

  • Please avoid moving venue furniture, décor, or other items whenever possible.

  • If you need to move an item to capture a shot, please return it to its original location when finished.

  • We would love to see and share your work! If you’re willing to share images or video from the wedding with Greenwood Springs, we will credit and tag your business whenever the content is used on social media.

  • Please feel free to tag Greenwood Springs when sharing photos, videos, or content captured at the venue. We love seeing the day through your lens!

  • We’re grateful to the photographers, videographers, and content creators who help make our couples look amazing and showcase the beauty of Greenwood Springs. We appreciate having you here!
